Back-office Executive

Duties & Responsibilities

Internal Administration task

1. Actively work towards streamlining the administrative tasks, generate presentations and ensure that all daily needs and tasks are completed as required.
2. Draft and amend all documents as directed and deal with all post and communications
3. Manage daily accounting process with 3rd party, activities and works, so to ensure all accounting transactions and reports deadline are met and monthly accounting close process.
4. Responsible for banking matter relates to receipts and payments.
5. Support the controlling department (3rd party) in carrying out weekly/monthly banking including identifying and resolving any discrepancies.
6. Deal with travelling expenses, handle incoming invoices, support in issuing invoices and checking receipt of payments.
7. Arrange travel and accommodation, domestic and oversea.

Customer facing task

8. Prepare and maintain recurrent related party transaction listing, if any.
9. Prepare ad hoc reports as and when required by the management
10. Liaise with international customers administrative task Support in consulting customers for their enquiries.
11. Support Manager (owner) and customers with entering, coordinating and managing orders in collaboration with the international supply chain network to ensure delivery date commitments
12. Provide data analysis and data research as per requirement

Others

1. Identify areas that require improvement and implement necessary changes to improve the efficiency of the company systems and support business development.
2. Maintain security and confidentiality of company financial information and records.
3. Perform all other accounts, finance and corporate related tasks and ad-hoc assignments as and when requested by the management.

Academic Qualification

a. Bachelor´s degree or an equivalent combination of formal education and experience;

 

Work Experience & Skill

a. 5 years of similar experience in back-office support
b. Meticulous, result oriented and able to work independently
c. MS office skills particularly with strong capabilities in MS Excel and PowerPoint
d. Excellent communication skill in written and spoken in English and Mandarin
e. Enthusiasm to learn new skills and ability to grasp large amounts of product information
f. Detail oriented and used to work with tight time-frames and under pressure
g. Ability to accurately input data and maintain attention to detail
h. Strong service-oriented mind-set, good cooperation and team skills
i. High level of self-dependence and self-organization as well as ability to use own initiative, prioritize and plan ahead
j. Culturally open-minded, numerate and logical;
k. Innovative attitude, challenging continuously the status quo and always looking for improvement;
l. Confidentiality and discretion are mandatory.
